Job Description
We are a busy manufacturer headquartered in City of Industry, CA seeking an energetic, detail-oriented and hardworking Receptionist/Office Assistant. The ideal candidate will have a strong work ethic, a positive attitude, the ability to balance a variety of tasks and take great pride in their work.
On-site work hours: Monday – Friday 8:00 am to 4:30 pm. Lunch break is 40 minutes.
RESPONSIBILITIES
• Answer, screen and forward incoming calls
• Greet and check in guest, maintain office security by following safety procedures and controlling access via the reception desk (monitor registration log, issue visitor badges)
• Receive, sort and distribute daily mail/packages
• Receive samples and maintain sample log with sense of urgency as some samples require immediate refrigeration or freezing
• Handle consumer complaints or escalate to proper team member; send out coupons to consumers and log all details in Excel
• Update daily and weekly production and shortage reports utilizing Excel
• Maintain and restock office supplies
• Monitor and replenish supplies for coffee station, ensuring it’s always ready for use
• Perform other clerical duties such as filing, photocopying, scanning, faxing and creating shipping labels
• Prepare and mail promotional giveaways to consumers
• Assist AR department with printing or requesting deduction backup
• Assist AP department with printing bills of lading
• Assist Customer Service department with data entry and paperwork collection
• Provide administrative support to other departments as needed
QUALIFICATIONS
• 1-2 years' work experience in office environment
• Knowledge of MS Office, specifically Microsoft Outlook and Excel
• Minimum typing speed of 35 wpm
